How to Clean an ID Card Printer
It's important to keep up maintenance on your ID card printer. Whilst it won't just stop working, the signs will be there. It just gets worse at its job, one card at a time. A faint line down every badge, a patch of colour that hasn't quite taken, a card that jams halfway through the feed. Most of the time, the cause is dust and debris that's built up inside the printer, not a fault with the printer itself.
The good news is that cleaning an ID card printer takes a few minutes, needs no tools, and dramatically extends the life of the printhead, which is the most expensive part to replace.
Why ID Card Printers Need Regular Cleaning
Every card that passes through a printer carries a small amount of dust, fibres, and skin oils with it. Over hundreds of cards, that builds up on the rollers that move the card through the printer and on the printhead itself, where the image is actually applied.
Left alone, this build-up shows up as:
- Thin white streaks running across printed cards
- Patches where the colour looks faded or uneven
- Cards jamming or feeding unevenly
- A printhead that wears out faster than it should
None of this means the printer needs replacing, it typically means it's overdue a clean.
How Often Should You Clean an ID Card Printer?
Most manufacturers, including Evolis, Magicard and Zebra, recommend cleaning after every 1,000 cards printed. If your printer sits somewhere dusty, or prints a high volume every day, clean it sooner. A simple rule of thumb is to build a clean into your routine whenever you replace the ribbon, since ribbons and cleaning kits tend to run out at a similar pace.
What You'll Need
- A cleaning kit matched to your printer's brand and model (an Evolis, Magicard, or Zebra kit won't fit another brand's printer)
- A clean, dry surface to work on
- A few minutes with the printer powered on but not mid-print
Most kits include one or more of the following: a T-shaped adhesive cleaning card, an adhesive cleaning roller or sleeve, and a cleaning pen or swab for the printhead directly.
Step-by-Step: Cleaning Your ID Card Printer
1. Turn off and open the printer
Power down the printer and open the card feed and printhead covers, following your printer's manual for the exact release points. This varies slightly by model.
2. Remove the ribbon
Take out the print ribbon before you start. Cleaning materials can leave residue on an exposed ribbon, and it's easier to inspect the card path with the ribbon removed.
3. Run the adhesive cleaning card through the printer
Most kits include a T-shaped cleaning card. Feed it through the printer's card path the same way you would a normal card or run it through the printer's built-in cleaning cycle if your software has one. This lifts dust and debris directly off the transport rollers.
4. Clean the printhead directly
Using the cleaning pen or swab supplied, gently wipe along the length of the printhead. This is the strip that applies the print image to each card, and it's the component most affected by dust build-up. Use light pressure, no scrubbing.
5. Wipe down accessible surfaces
If your kit includes wipes, use these on the exterior card feed and output trays. This mainly helps stop new dust being carried straight back into the printer on the next card.
6. Reload the ribbon and run a test card
Put the ribbon back in, close the printer, and print a test card. Check for streaking or faded patches; if they're still there, a second cleaning cycle usually clears it, particularly if the printer hasn't been cleaned in a while.
Cleaning an ID Card Printer FAQs
Can I use any cleaning kit on any printer?
No, cleaning kits are built for a specific printer brand, and often a specific model. An Evolis kit won't fit a Magicard or Zebra printer. Check your printer's exact model before ordering, or get in touch and we'll confirm the right kit for you.
What's the difference between a cleaning card and a printer ribbon?
A ribbon supplies the colour that's printed onto the card whilst a cleaning card removes dust and debris from inside the printer.
My cards are streaky even after cleaning. What now?
Sometimes you need to run a second cleaning cycle, since a printer that hasn't been cleaned in a while can need more than one pass. If streaking persists, check the ribbon is loaded correctly and hasn't been damaged, and check for visible marks or damage on the printhead itself. If the problem continues, get in touch and our team can help you troubleshoot.
Can dirty rollers actually damage my printer?
Over time, yes. Debris on the rollers affects how smoothly cards feed through the printer, and a dirty printhead is one of the more expensive components to replace. A regular clean costs far less than a repair or replacement.
Do I need to clean a printer that isn't used every day?
Yes, just less often. Dust settles inside a printer whether it's running or not, so a printer used occasionally still benefits from a clean every few months, or before any large print run.
A cleaning kit matched to your printer, run through every 1,000 cards or so, is the simplest way to keep your ID cards looking sharp and your printhead lasting as long as it should.
